Meadow Glens Home and School Association
Meadow Glens Home & School is a volunteer group of parents/guardians, teachers and administrators working together to support & enhance the school experience for each student. If you have a child at Meadow Glens you are automatically a member.
Our newsletter informs you of the many activities and programs you can be involved in throughout the year.
All parents, teachers and staff are automatically considered members of our association and are welcome to attend our meetings.
Meetings are held on the 2nd Tuesday of the month at 7:00 pm.
Your interest and support is invaluable.
We encourage your involvement.
Art Awareness
Responsible for recruiting volunteers who give a brief presentation in each class about selected artwork and the artist. The chairperson meets with the current art teacher, has an organizational meeting with volunteers, selects and schedules the prints to be shown at each grade level, and maintains the prints, supplies and information folders. Art Awareness is responsible for maintaining inventory of the materials and keeping them stocked & organized.
Birthday Books
Responsible for purchasing books, typing name stickers for each child and coordinating the distribution of the books with the Principal. They communicate with the Principal for books needed and with the Book Fair committee chairs for purchasing books with Anderson’s Book Fair profit money and your budgeted money.
Book Fair
Manage the school book fairs held twice a year during fall and spring Parent/Teacher Conferences. This includes communicating with the book fair company, setting up displays, coordinating volunteers for the 3 days of sales, completing deposit forms, and packing up the book fair. This committee typically has at least 2 committee chairs. Organizes Donut Day in the morning before school on the first day of Book Fair. Coordinates with LC Director to schedule Author visits.
Bulletin Board
Responsible for maintaining the bulletin board at the main entrance with current or upcoming Home and School events and information.
Online Communications
Responsible for communicating with the Exec Board to confirm information on the MG website is up-to-date. Maintains mghs203.org with commerce opportunities for MG events. Also offers support to chairs when needing to use the commerce site.
Communications and Media
Responsible for the coordination, creation and layout of the weekly Scoop emails and Talk 203s. Works with the Exec Board in confirming what is approved/needed to be posted.
Cultural Awareness
Responsible for the coordination and execution of International Night and developing school-wide cultural awareness. Keeps the International Night decorations and supplies neat and organized in the Home & School closet.
Directory Spot
In September or October, coordinate the parent directory information provided by the District into the Meadow Glens Directory Spot app. Update the app with new information provided by parents on a quarterly schedule.
Environmental
Create seasonal displays in the planter at the front entrance of school. Also manage the Fall Mum Sale, Winter Greenery Sale, and Spring Plant Sale. This includes contacting plant vendor, coordinating plant sale information on CheddarUp website, completing deposit forms, sending plant sale information to parents, coordinating volunteers for plant pickup, and cleaning up after sale ends. This committee typically has at least 3 committee chairs.
Foodraisers
Coordinate food fundraisers for Meadow Glens; such as dinner nights out and bundt cake orders. Also coordinates the ice cream sales for the May Ice Cream Social.
Fifth Grade Celebration
Responsible for creating a theme and design for 5th grade shirts and coordinating the 5th Grade events including New Family Tours in August, Holiday Store elves in December, & 5th Grade Celebration events in May.
Gift Card Program
Responsible for all aspects of 2 gift card sales (December & May). Due to the high volume of money with this program, 2 volunteers are necessary.
Holiday Store
Responsible for all aspects of the Holiday Store, including ordering and planning a community boutique. Keeps the Holiday Store decorations and supplies neat and organized in the Home & School closet.
Hospitality
Responsible for Welcome Back Luncheon for school staff in August, teacher & staff treats during fall and winter conferences, refreshments at various Home & School functions, and any events that the Home and School Association Board deems necessary. Keeps the Hospitality supplies neat and organized in the Home & School closet.
Philanthropy
Responsible for the coordination and promotion of charitable initiatives within the school community.
Programs & Assemblies
Responsible for coordinating & attending 2 or 3 in-school programs and assemblies. Work with the School Administration on details and dates of each event.
Reading Incentives
Coordinate the reading incentive program(s) for our school, such as Kane County Cougars, & distribute information to families.
Room Parent
Responsible for selecting and contacting all room parents, overseeing their activities, and coordinating with the Building Principal and food service provider to select the treat provided at the End of Year Picnic. The room parents are responsible for class parties & volunteering at the end of year picnic. An additional volunteer is helpful as “door holder”/ help distribute name tags on class party days.
Safety Patrol
Responsible for ensuring a safe and orderly environment during school drop off in parking lots ‘A’ and ‘B’.
School Supplies
Responsible for the purchase of school supplies. Coordinates the notification to all parents/guardians of school supply packets and coordinates the purchase and distribution of the same. Organizes the distribution of supplies and coordinates volunteers during school supply pick up.
Shop & Share
Coordinates the Box Tops for Education fundraiser as well as any other shopping fundraisers deemed appropriate by the Exec Board.
Social Committee
Works with the Executive Board at the beginning of the year to decide on the Social Events for the year and coordinates these community building/fundraising activities including the family social or bi-annual adult-only social event depending on the year and need.
Family Social
The committee chairs are responsible for coordinating family events with the Exec Board & the principal. Some examples of past events: family movie night, bingo night, food truck event. This committee will also coordinate the Open House Night raffle with the Exec Board. This committee should have 2 committee chairs.
Spirit Wear
Partners with the 5th grade celebration committee to work on theme and design (typically prior to start of school year). Coordinates approvals of the theme with principal. Works with vendors on updating spiritwear options. Responsible for all aspects of the spirit wear sale in the fall for the fifth-grade t-shirts and general school spiritwear.
STEM NIGHT
STEM Family Night is an evening of hands-on science, math, and engineering activities for students and families to learn about the wonderful world of STEM. The event coordinator is responsible for: contacting and confirming exhibitors, creating layout of the event, and organizing volunteers and donations for the day of the event.
Teacher & Staff Appreciation
Responsible for coordinating events with the Principal for American Education Week in the Fall, Teacher Appreciation Week in the Spring. Also “thanks” staff for discipline-specific holidays (i.e., nurses’ week, national principal’s day, etc.). Responsible for recognizing all staff retirees with a cake at the end of the school year at the retirement party.
Volunteer Coordinator
Responsible for preparing and distributing volunteer information sheets to parents/guardians and formulating a list of school volunteers for all committees. Also organizes volunteers for vision & hearing screenings, maintenance of the school marquee (outside), grades K-2 picture days, and P.E. rock climbing.
Yearbook
Responsible for all aspects of coordinating the yearbook for production and work with office staff on students’ composites by an outside company as well as coordinating yearbook photographers at all H&S school events. Works with school admin to ensure names and pictures are correct for staff and they will review pages to make sure the list of students to not be photographed are protected.
Nominations
The President or VP will appoint or select a nominations committee. Responsible for organizing the slate of officers and committee chairpersons, and will present the slate to the Board no later than the April meeting to be voted on by the May meeting. Responsible for filling positions that may become open during the school year in conjunction with the Executive Board.
President
Preside at all meetings of MGH&S, Exec Board, and General H&S. Reviews financial transactions of the association. Oversee all committees. Is a liaison between District 203 & Meadow Glens School.
Vice President
Assume the duties of the President in the event of the President’s absence. Assists the President in overseeing committees where needed and is in charge of overseeing the fundraising committees. Coordinates the Nominations process for each school year.
Secretary
Organize and prepare the agenda and minutes for the Exec Board and General H&S meetings. Forward approved minutes to be posted on the MG website. Oversee “Sunshine Acknowledgments” (greeting cards) from MGH&S.
Treasurer
Receive and disburse all association funds and keep accurate accounts. Pay approved budgetary expenses to vendors. Present a financial report to the Board at each meeting. Coordinate and oversee budget preparation and present the budget to the Board in May.
